40 Teams, One Pitch, One Day – How Do You Create a Match Schedule That Actually Works?

It's easy to create a match schedule that works on paper. The harder part is creating a schedule that gives the participating teams a good tournament experience.

When you have both a group stage and knockout rounds, it's impossible to keep the day short for teams that start their group matches early and make it all the way to the final. But we can make an effort to make the day as good as possible for as many teams as possible.

Let's look at a specific example: a football tournament with 40 teams, played on one pitch in a single day. Matches last 9 minutes, with 1 minute between each match.

How should we organize the day?

How Many Matches Do We Need to Fit In?

The tournament has two divisions:

• 32 boys' teams
• 8 girls' teams

The boys are divided into eight groups of four teams. The girls are divided into two groups of four.

In a group of four teams, everyone plays each other once. That means six matches per group and three matches per team.

For the boys, that's 8 × 6 = 48 group-stage matches.

For the girls, that's 2 × 6 = 12 group-stage matches.

In total, we need to play 60 group-stage matches.

Increasing the group size to five teams results in significantly more matches. In addition, the number of groups can make it more difficult to create a natural transition into a traditional knockout stage with 4, 8 or 16 teams.

For example, 25 teams divided into five groups of five results in 50 matches – more matches than 32 teams divided into groups of four.

Why not use groups of three? Because each team would only get two matches. It could work if you created A and B knockout brackets, but the schedule and tournament would become more complicated for both organizers and players. If, for example, you had six girls' teams, you could use two groups of three and play a double round-robin or add an extra knockout stage to give everyone more matches.

Then We Need the Knockout Stage

Let's continue with our original setup of 32 + 8 teams and four teams in each group.

In the boys' division, 16 teams advance to the Round of 16. This is followed by the quarter-finals, semi-finals and final.

That gives us:

• 8 Round of 16 matches
• 4 quarter-finals
• 2 semi-finals
• 1 final

That's 15 knockout matches in total.

In the girls' division, four teams advance to the semi-finals. Two semi-finals and one final add another three knockout matches.

The entire tournament therefore consists of 78 matches.

With such a tight schedule, I would consider skipping third-place matches. It saves time and avoids extending the day even further for teams that have just lost a semi-final.

78 Matches on One Pitch

Each match lasts 9 minutes, and we allow 1 minute before the next match starts.

That means a new match every ten minutes.

78 matches × 10 minutes = 780 minutes, or 13 hours.

If the first match starts at 08:00, the final match will finish at around 21:00 – and that's assuming matches run continuously throughout the entire day.

It's a tight schedule.

But 13 hours isn't actually the biggest problem.

Nobody Wants to Play at 08:00 and Again at 17:00

Imagine a team playing its three group-stage matches early in the morning.

They do well and qualify for the knockout stage. But if all 60 group-stage matches have to be completed before the first knockout match begins, that team could be waiting for hours before playing again.

For players, coaches and parents, that effectively means spending the entire day at the tournament – despite only playing a few minutes of football.

So simply fitting every match into the schedule isn't enough.

A mathematically valid match schedule isn't necessarily a good match schedule.

Interleave the Groups

A better approach is to think about which groups should play at the same time.

With eight boys' groups, for example, we can interleave two or four groups at a time.

Instead of:

Group A → Group B → Group C → Group D

matches from multiple groups can be mixed:

Group A → Group B → Group A → Group B → ...

This gives teams natural breaks between matches while still allowing them to play relatively frequently.

The same approach can be used with four groups at a time, depending on the match order and the amount of rest you want between matches.

The goal is to make each part of the tournament as compact as possible for the teams taking part.

The Girls Don't Need to Start at the Same Time as the Boys

There are only eight teams in the girls' division.

There's therefore little reason to start their group stage early in the morning if their semi-finals won't be played until much later in the day.

Instead, the two girls' groups can be interleaved with the final boys' groups.

The girls' teams can arrive later, play their three group matches and have a shorter wait before the semi-finals.

The total duration of the tournament remains exactly the same.

But the tournament day becomes significantly better for those eight teams.

The Knockout Matches Can Be Interleaved Too

As the group stage approaches its conclusion, the knockout stage can begin.

First, the boys' Round of 16 matches are played.

After the Round of 16, the girls' semi-finals can be added to the schedule. This also gives the boys' teams that have advanced some additional recovery time before the quarter-finals.

Later, the girls' final can be played before the boys' semi-finals.

This means the girls' matches also provide natural breaks in the boys' knockout schedule.

We still don't have any more minutes available on the pitch. We're simply using those minutes more effectively.

Match Order Matters

When creating a match schedule, you shouldn't only ask:

"Can we fit all the matches in?"

You should also ask:

• Is the waiting time between matches reasonable?
• Is the wait between the final group-stage match and the first knockout match acceptable?
• Can different divisions and groups be interleaved to provide suitable rest periods between matches?

That's the difference between creating a list of matches and creating a good tournament schedule.

Test the Tournament Day Before Kick-Off

With 40 teams, 78 matches and only one pitch, there isn't much room for error.

That's why it's useful to set up the entire tournament in advance and see how the day will actually work.

In MyLivescore, you can create divisions, groups and pitches, set match durations and generate the match schedule. The system also supports multiple divisions as well as both group stages and knockout stages.

You can then adjust the schedule so that it doesn't just work technically, but also makes sense for the teams taking part.

The best match schedule is one that allows 40 teams to go home feeling they've had a great tournament day.
